1. We are Sponsormatch Limited (trading as Sponsormatch) (Company No. 16709913) having our Registered Office at 3rd Floor The Coade, 98 Vauxhall Walk, London, SE11 5EL (“Sponsormatch”, “We”, “Us”, “Our”). 

2. This Privacy Policy should be read in conjunction with and forms part of the Terms & Conditions (the “Terms”). In this Privacy Policy, save as where indicated below, defined terms in uppercase shall have the meanings set out in the Terms. We are committed to ensuring that your personal information is used properly and is kept securely. This Privacy Policy explains how We will collect and use personal information through the Site.

3. Within this Privacy Policy the terms Data Controller, Data Processor, Personal Data and Processing (or Process or Processed) shall have the meanings given in the DPA 2018 and DPA 2018 shall mean the Data Protection Act 2018 as amended from time to time (which shall therefore include the GDPR by reference).

4. By submitting information to the Site, whether during the registration process or when posting listings, sending messages to other members or otherwise, you are consenting to the processing of your information by Us and Our agents in accordance with this Privacy Policy.

Data Controller

7. You and Us will be the joint controller in respect of all personal information posted by you on the Site. We will be the Data Processor in respect of personal information processed by Us in providing the services to you through the Site.

Privacy Statement

8. The protection of your privacy in the processing of your personal information is an important concern to Us, and any personal information collected during visits to the Site is processed by Us in accordance with the DPA 2018. The Site may include links to other websites whose content is not under Our control and We cannot accept any responsibility for the content within these third-party websites.

9. From time to time We may update this Privacy Policy to reflect changes in the way in which We use and process your personal information. We will indicate at the top of this page the date the Privacy Policy was last revised. By continuing to use the Site you indicate your acceptance of the revised Privacy Policy. It is important that you review the Privacy Policy regularly to ensure you are aware of any updates.

10. By submitting your personal information to the Site (whether during the registration process, when posting Your User Content or otherwise), you are agreeing to the processing of your information by Us in accordance with this Privacy Policy. Representatives who submit personal information on behalf of legal entities confirm that they have authority to do so and to bind those representatives and legal entities to the terms of this Privacy Policy. Please note that this Privacy Policy only relates to this Site. If you move to any third-party website, then the privacy policy in respect of that third party website applies.

Use and storage of your personal information

11. When you supply any personal information to Us, We have legal obligations towards you in the way We deal with that information. We must collect the information fairly, that is, We must explain how We will use it. This Privacy Policy explains how We will use your personal information.

12. We may collect the following information from you in order to register you as a user of the Site ("Registration Data"):

· As a representative of a business or corporate entity, for the purposes of account creation; onboarding; reporting/matching; support and service notifications, we may collect the following information: your name, your job title, the name and address of your organisation, your business email address, your business correspondence address and contact telephone numbers.

· As an individual: your name, address, your email address and your contact telephone numbers. 

13. You must provide us with a username and password when you register. We cannot register you without this information.

14. Failure to provide the Registration Data where We are required to collect this by law, or to provide the services to you, may mean we are unable to provide the services. We will notify you if this is the case.

15. We may also collect the following related information about you for purposes including security; fraud prevention and analytics (“Related Information”): IP address, approximate location, ISP provider, timestamps, referrers, campaign parameters (UTMs), operating system type, browser type, website from which you visit the Site, date and length of your visit to the Site, Sponsorship Opportunities viewed by you on the Site, activities generated by your account including Sponsorship Opportunities listed by or purchased by you, bids placed by you, information inputted by you including but not limited to information inputted on to your profile, through any networking, connecting or socialising function available through the Site or messages or contact made with other members.

16. In the event that payment data is required, this will be handled by a third party supplier and not directly through Us. We do not store credit card details nor do we share bank account numbers with any third parties.  

17. All contributions submitted to the Site and listings posted on the Site by you are voluntary and may include personal information relating to others. You may upload personal information belonging to others only when you have informed the individual that you will use their information in this way and received their express consent.

18. User Content submitted to the Site by You may include personal information. You may post User Content to the Site. You should be aware that other members and users will be able to access your User Content.

19. It should be noted that for operational purposes, to generate and explain matches, we may also collect data related to URL signals; intake answers; and AI-call transcripts.

Use of your personal information

20. We use your Registration Data in order to register you as a member of the Site, to administer your use of the Site and to provide you with services available through the Site, such as payment and messaging and contact services. We may use your Registration Data to verify your identity or the accuracy of the information provided by you.

21. We may use your Registration Data in order to contact you by email with service-related announcements, including marketing updates and analytics/product improvement. We may also use Your Registration Data to update Our records or for audit purposes and for legal and compliance purposes

22. We may use Related Information and/or your Registration Data for the purposes of determining whether you have complied with the Terms and to assist us in resolving disputes between you and Us or between you and other members.

23. We may also use Related Information to manage and improve the Site and services available through the Site or to track and analyse usage of the Site and/or for security purposes.

24. Where you have indicated your acceptance of the Terms (of which this Privacy Policy forms part) We may use your Registration Data and Related Information to contact you about products and services that We think may be of interest to you and to request your participation in surveys or other activities related to the Site or other projects with which We are involved.

25. We store and display User Content on Your behalf but We will not use personal information contained in User Content for purposes not required under the terms of this Privacy Policy.

26. Sponsormatch will only hold Registration Data on our systems for as long as is necessary to fulfil the purposes of our relationship with You, or as long as is set out in any relevant contract you hold with Us. Once that purpose has been fulfilled, we will securely delete the Registration Data, unless we are required to keep it for legal, tax or accounting reasons. 

27. We may also anonymise your Registration Data, so that we (or anyone else) can no longer tell that the Registration Data relates to you, at which point your information will cease to be considered personal data. 

28. We will not sell your personal data. We may share your data only with: (i) service providers who help us to operate the Site; (ii) professional advisers and authorities as required by law; (iii) successor entities in the event of a reorganisation, merger or acquisition. 

Cookies

29. A cookie is a piece of information that is held on the hard drive of your computer which records how you have used a site. We use cookies to accumulate useful information, such as whether the computer has visited the Site before. This is done on a repeat visit by checking to see, and finding, the cookie left there on the last visit.

30. We use cookies to monitor how people use the Site in order to help Us to provide you with a better service. Cookies make it easier for you to log on and use the Site during future visits. They also allow Us to personalise the content of the Site for you.

We will use cookies to advertise our Site and services to you, including on other websites, in other media and forums.

33. By using our Site you consent to our use of cookies in accordance with the terms of this Privacy Policy.

Sharing Your Personal Information

34. We may share your personal information with third parties in the following ways:

· We may sometimes use third parties to process personal information on Our behalf. For example, to host the Site and to maintain our IT systems. Where We use a third party to process your personal information on Our behalf, we will ensure that they have adequate security measures in place to safeguard your personal information and we will only use reputable processors for what is strictly necessary (which may include cloud hosting & databases; email/CRM; analytics; voice provider (for the optional AI call); web enrichment; and payments. We will also seek to ensure that all such third parties shall have the highest level of security measure in place in relation to your data, including: TLS in transit; encryption; least-privilege access; admin MFA/SSO; audit logs; regular backups; DPAs with all processors; data-minimisation and appropriate retention/deletion policies. We will share your information such as your account name with other members of the Site who may be located in the UK or abroad;

· We will release your personal information when We are required to do so for legal or regulatory purposes or as part of legal proceedings;

· Where you have indicated your acceptance of the Terms We may share your personal information with third parties who may contact you directly in relation to products or services of interest to you; 

· In some circumstances We may transfer your personal information to countries outside of the European Economic Area.  Where this is the case, we will always ensure that appropriate protection is in place to safeguard your personal information.

35. There may be a facility on the Site to upload the details of your contacts, including (but not limited to) their name, address, email address and telephone numbers (“Contacts”). Where you have uploaded Contacts on to the Site We will (if we deem it appropriate to do so) send messages and updates to your Contacts by letter, email, SMS or through any other format to notify them about Sponsorship Opportunities that you have listed, to provide them with other marketing and advertising material and related information and to provide them with general information about the Site and its facilities and Services. You will only upload Contacts on to the Site if you have express permission from your Contacts to do so and your Contacts’ permission for Us to contact them as set out above, and you confirm that any such action by you or Us is in compliance with the DPA. By uploading Contacts to the Site you confirm to us that you have such express permission from your Contacts and you agree to us contacting your Contacts as described above.

36. If any Contact requests that they be removed from the Site or that they are not contacted by Us in future (or they make any similar or related request) you agree that Sponsormatch can take any action that We deem appropriate to deal with any such request including by removing the Contact from your list of Contacts on the Site (and removing any details relating to them from the Site generally) without reference to you.

Information shared by You on the Site

37. Please be aware that other members of the Site as well as visitors to the Site who may not be members can see your bids and your listings including your business name.

38. Any information that you put on your profile on the Site and any content that you post on the Site may be seen by others. Some communications that you send through the Site (for example, invitations, messages or requests to connect) will list your name and primary email address in the message as well as the name of the organisations you are connected with or represent. Messages that you send may also provide the recipients with information about your network and interests.

39. Further actions by you may allow additional information to be seen by third parties. For example, if you make a request to connect with a third party through the Site, once that request has been accepted, that third party will be able to view some of your details and information (including, for example, details about your network). Equally if you accept a request to connect with a third party through the Site, that third party will be able to view some of your details and information (including, for example, details about your network).

40. We are not responsible for any information that you put on to the Site as part of your profile, postings or otherwise. Your contributions are typically searchable on our Site and some content may be public and searchable on the internet. You can remove posts at any time. However, others may have copied and used the information that you shared.

41. If you share content on your network or import content, you should be aware that any information you choose to disclose can be read, collected and used by third parties, including advertisers. We are not responsible for the information that you choose to submit. 

42. If you provide any testimonials about the services that we provide we may post those testimonials, and any other material that you have posted, to third parties or place them on the Site or in any other material. This may include your name and other personal information that you have provided.

Using information from other members

43. You may need to share information with other members to complete transactions. Please be aware that when you are involved in a transaction another member may have access to your name, your username, your business or home address, your email address, the organisations that you are connected with or represent and other contact and profile details. You agree that you will use the personal information of other users only for:

· purposes relating to any transaction;

· using services offered through the Site such as the messaging or contact services; or

· any other purposes for which you have obtained prior, express consent from the member.

Access to Your personal information

44. You have the right to request a copy of the personal information We hold about you and to have any inaccuracies corrected. We will ask for confirmation of identity before We disclose any personal information and may charge a £10 administration fee to process the request. Acceptable Use

45. Unless you own or control the relevant rights in the material, you must not:

· republish material from our Site (including republication on another website);

· sell, rent or sub-license material from our Site;

· show any material from our Site in public;

· exploit material from our Site for a commercial purpose; or

· redistribute material from our Site.

46. We reserve the right to restrict access to areas of our Site, or indeed our whole Site, at our discretion; you must not circumvent or bypass, or attempt to circumvent or bypass, any access restriction measures on our Site.

47. You must not:

· use our Site in any way or take any action that causes, or may cause, damage to the Site or impairment of the performance, availability or accessibility of the Site, including any third party use of the Site;

· use our Site to copy, store, host, transmit, send, use, publish or distribute any material which consists of (or is linked to) any spyware, computer virus, Trojan horse, worm, keystroke logger, rootkit or other malicious computer software;

· conduct any systematic or automated data collection activities (including without limitation scraping, data mining, data extraction and data harvesting) on or in relation to our Site without our express written consent;

· use data collected from our Site for any direct marketing activity (including without limitation email marketing, SMS marketing, telemarketing and direct mailing).

· You must ensure that all the information you supply to us through our Site, or in relation to our Site, is true, accurate, current, complete and non-misleading.

Limited warranties

48. We do not warrant or represent:

· the completeness or accuracy of the information published on our Site;

· that the material on the Site is up to date; or

· that the Site or any service on the Site will remain available.

49. We reserve the right to discontinue or alter any or all of our Services, and to stop publishing our Site, at any time in our sole discretion without notice or explanation; you will not be entitled to any compensation or other payment upon the discontinuance or alteration of any services, or if we stop publishing the Site.

50. To the maximum extent permitted by applicable law we exclude all representations and warranties relating to the subject matter of our Site and the use of our Site.
